Author Guidelines

Annual Research Session (ARS) – Faculty of Science, Eastern University, Sri Lanka

1. Types of Submissions

The Annual Research Session (ARS) invites the following types of submissions:

1.1 Full Papers

Full papers are invited only from examined undergraduate research projects conducted within the Faculty of Science, Eastern University, Sri Lanka (EUSL).

  • Accepted full papers will have their abstracts published in the ARS Proceedings.
  • Selected full papers may be considered for publication in the Journal of Science (JSc), Faculty of Science, EUSL, subject to an independent peer-review process.
  • Authors wishing to have their paper considered for publication in JSc must indicate their interest through correspondence with the Editorial Board.

1.2 Extended Abstracts

Extended abstracts are invited from researchers affiliated with EUSL as well as from other universities and research institutions.

  • Accepted submissions will be published in the ARS Proceedings.

2. Submission and Review Process

All submissions will undergo a double-blind peer review process conducted by the ARS Editorial Board.

Authors must adhere to the following requirements:

  1. Anonymized Submission
    Authors must submit an anonymous version of the manuscript together with a separate Title Page containing author details.
  2. Original Work
    Submissions must represent original research conducted by the authors and must not have been previously published or presented elsewhere.
  3. Compliance with Guidelines
    Manuscripts that do not conform to the formatting and submission guidelines will not be considered for review.
  4. Language Requirement
    All submissions must be written in English.
  5. Submission Method
    Manuscripts and Title Pages must be submitted electronically to:

  6. Submission Deadlines
    Authors must strictly adhere to the submission deadlines announced by the conference organizers.
  7. Editorial Decision
    The decision of the Editorial Board is final regarding the acceptance or rejection of submissions.

3. Manuscript Preparation Guidelines

Authors should prepare their Abstracts, Extended Abstracts, and Full Papers according to the following format.

Document Format

  • Software: Microsoft Word
  • Paper size: A4
  • Orientation: Portrait
  • Margins: Left – 20 mm; Top, Bottom, Right – 15 mm
  • Font: Times New Roman
  • Font size: 12 pt
  • Line spacing: Single

4. Title Page

The Title Page must contain the following information:

  • Title of the Paper
    Concise and informative • Only the first letter capitalized (sentence case) • Bold and centered
  • Author Names and Affiliations
    Names should appear below the title and centered • Use superscript numbers (¹,²,³) to indicate institutional affiliations • Institutional addresses should be listed below the authors
  • Corresponding Author
    Indicate the corresponding author with an asterisk (*) • Provide the email address of the corresponding author
  • Conference Track
    Specify the relevant conference track and provide a brief justification for the selection.

5. Abstract Guidelines

  • The title of the abstract should appear at the top of the page.
  • The abstract must be limited to one page.
  • Maximum 350 words.
  • The abstract should be written as a single paragraph.
  • The content should briefly summarize: Research objective, Methodology, Key results, Major conclusions
  • SI units must be used throughout.
  • Page numbers should not be included.

6. Extended Abstract Guidelines

  • Length: 3–4 pages
  • Word limit: Up to 800 words
  • Pages must be numbered

  2. Introduction (Purpose of the study)
  3. Methodology
  4. Results
  5. Discussion
  6. Conclusions
  7. Acknowledgements
  8. References

Figures and Tables

  • Include only when necessary to illustrate results.
  • All figures and tables must have clear captions and be numbered sequentially.

References

  • References must be cited in the text using numbers in square brackets [ ].
  • The reference list should appear at the end in order of citation.

7. Full Paper Guidelines

Full papers must include page numbers and follow this structure:

  1. Title
  2. Abstract
  3. Keywords (3–5)
  4. Introduction (Purpose of the study)
  5. Methodology
  6. Results
  7. Discussion
  8. Conclusions
  9. Acknowledgements
  10. References

Figures, tables and references follow the same rules as Extended Abstracts.

8. Guidelines for Oral Presentations

  • Presentation duration: 15 minutes presentation + 5 minutes discussion
  • Presentations will be evaluated by a panel of judges.
  • Use Microsoft PowerPoint (.pptx format) compatible with the latest version.
  • Presentation mode: Face-to-Face or Virtual
  • All presenters must submit a recorded video of their presentation at least two weeks prior to the conference (follow organiser instructions).

9. Guidelines for Poster Presentations

Poster Size and Layout

  • Size: A0 (841 mm × 1189 mm)
  • Orientation: Portrait
  • Margins: Minimum 20 mm on all sides

Poster Content Requirements

  • Use consistent font: Times New Roman or Arial
  • Figures, graphs and tables must be readable from ≥ 1 meter distance
