Guidelines
GENERAL GUIDELINES
- The following types of submissions are invited for ARS 2025:
- Full Paper: Research work based on examined undergraduate research projects conducted in the Faculty of Science, EUSL only. Abstracts of accepted papers will be published in the ARS 2025 Proceedings. Selected full papers may be considered for publication in the Journal of Science (JSc) published by the Faculty of Science, EUSL, following a separate peer review process. Authors should indicate their willingness to have their submission considered for JSc publication via correspondence.
- Extended Abstract: Extended abstracts are invited from researchers both from EUSL and other universities. Accepted submissions will be published as abstracts in the ARS 2025 Proceedings.
- The ARS 2025 Editorial Board will conduct a double-blind peer review. Authors must submit anonymized versions of their Full Papers and Abstracts, each accompanied by a separate Title Page.
- Submissions must be original research works by the authors and must not have been presented or published elsewhere.
- Submissions that do not comply with these guidelines will not be considered.
- All submissions and the Title Page should be written in English and submitted electronically to: arsfos2025@esn.ac.lk
- Deadlines for submissions will be strictly enforced by the Editorial Board.
- The decision of the Editorial Board will be final on all matters relating to acceptance of submissions.
AUTHOR GUIDELINES
Format for Preparation of Abstracts, Extended Abstracts, and Full Papers
- Prepare documents using MS Word
- Paper size: A4, Portrait orientation
- Margins: Left 20 mm, other margins 15 mm
- Font & size: Times New Roman, 12 pt, single line spacing
Title Page
- The title should be brief and informative, with only the first letter capitalized, centered at the top in bold.
- Authors' names and institutional addresses centered below the title.
- Use superscript numbers (¹, ², ³) for authors' institutional affiliations, placed at the beginning and end of each author’s name.
- Indicate the corresponding author with an asterisk (*) and provide a contact email.
- Indicate the relevant session track with a brief justification.
Abstract
- Title of the Abstract at the top.
- The abstract must be one page, a single paragraph, with a maximum of 350 words.
- Summarize the study's objective, methods, results, and conclusion.
- Use SI units.
- No page numbering.
Extended Abstract
- Length: 3 to 4 pages, with page numbers.
- Word limit: 800 words.
- Structure: Title, Introduction (Purpose), Methodology, Results, Discussion, Conclusions, Acknowledgements, References.
- Include figures and tables with captions and numbering, only if necessary to illustrate results.
- References cited in the text with numbers in square brackets, listed in order at the end.

Full Paper
- Pages should be numbered.
- Structure: Title, Abstract, Keywords (3-5), Introduction (Purpose), Methodology, Results, Discussion, Conclusions, Acknowledgements, References.
- Figures and tables must have captions and be numbered, included only when necessary.
- References format same as extended abstract.
GUIDELINES FOR PRESENTATION
- Each presenter will be allotted 15 minutes for presentation and 5 minutes for discussion.
- Presentations will be evaluated by a panel of judges.
- Presentations must be prepared using Microsoft PowerPoint compatible with the latest version.
- Submit your presentation as a single file in .pptx format.
- Presentation mode: Face-to-Face or Virtual.
- All participants must submit a recorded video of their presentation at least two weeks prior to the conference in accordance with the provided guidelines.
GUIDELINES FOR POSTER PRESENTATION
Researchers selected for poster presentation at the Annual Research Symposium (ARS) 2025 are required to adhere to the following guidelines to ensure uniformity and professionalism in display and presentation.
Poster Size and Layout
- Poster size: A0 (841 mm × 1189 mm) – Portrait orientation only.
- Margins: Leave at least a 20 mm margin on all sides.
- Layout sections: Title, Authors and Affiliations, Introduction, Objectives, Methodology, Results, Discussion, Conclusion, Acknowledgements (if any), and References.
2. Poster Content
- Title: Bold, concise, and centered at the top. Use sentence case (only the first letter capitalized and proper nouns).
- Author names & affiliations: List authors’ names (Last name with initials) and institutional affiliations with superscript numbers, placed below the title. Indicate the corresponding author with an asterisk (*).
- Font style: Use Times New Roman or Arial throughout the poster.
- Font sizes (recommended):
- Title: 72 pt
- Section headers: 48–60 pt
- Body text: 28–36 pt
- Captions: 20–24 pt
- Use clear visuals: Figures, graphs, and tables should be legible from 1 meter distance. Use high-resolution images.
- Avoid overloading text. Use bullet points and concise sentences.
